ORGANIZING FOR PARTY TEAM LEADS

1. Your Homeroom Parent will contact you about the scheduled class party about 4 weeks in advance. HP Parent will share the class e-mail distribution list for contacting parents.

2. Meet with your teacher to determine the following:
  • Party Theme – ie. Ice Cream Sundae Party, Gingerbread House building Party, etc…
  • Food and Party Supplies Needs List
  • Volunteer Needs
  • Activity

3. Communicate Party Information and Needs to Parents
  • Send e-mail (and/or) Thursday folders communication to class with format of theme and party needs. Ask for volunteers to commit to bring items. Using an online system such as www.helpersignup.com is a great tool for assigning items!
  • Order and/or purchase supplies for class activity.
  • Send reminders to volunteers the week of party to confirm items.

REIMBURSEMENT POLICY

  • $1.00 PER STUDENT PER PARTY IS PROVIDED BY THE PTA
      • PTA Reimbursement Voucher Forms (attachment below)
      • Tax Exempt Forms - Tax is NOT reimbursed unless you use a tax exempt form before purchasing items.
      • If you require more of either form you can pick them up from the PTA box in the teacher’s lounge. (The PTA BOX is on the table to the left of the staff mailboxes. The box has labeled hanging files inside.)

  • SAVE YOUR RECEIPTS!!
  • Turn in the reimbursement voucher with receipts attached to the PTA Mailbox. (The PTA Mailbox is on the same table. It is a big yellow box with a slot and blue letters that say PTA.)
  • Turn in receipts as soon as you purchase items


FOLLOW THE NUTRITION LIST!
o The Nutritional Policy is available at the Round Rock ISD website: www.roundrockisd.org/home/index.asp?page=995
  • PTA will not be able to reimburse purchases of FMNV (Foods of Minimal Nutritional Value); however, parents are allowed to bring in items that don’t meet the state standards on the 3 RRISD designated party dates.
  • Also note that RRISD allows for meals to be brought in from off campus on the three class party dates. These are the ONLY dates allowable by RRISD.

To stay within school policy most homeroom parents/party team leads have found that it is best to use the $1.00 per student provided by the PTA on paper goods or the class party activity and ask the parents to provide the snacks.
